Understanding Document Statuses in Knuula

Learn what each document status means in Knuula — from initial creation through to completion or removal — so you can manage your workload, follow up with clients at the right time, and keep your dashboard organized.

Every document in Knuula has a status that reflects where it is in its lifecycle. Statuses appear on the Contracts page in the Status column, and you can filter your dashboard by any status using the filter panel on the left. For instructions, see How to Filter on the Contracts Page.

Standard Document Statuses

These statuses apply to the typical lifecycle of an engagement letter sent and signed through Knuula.

  • Pending Approval (red person icon) — The contract is assigned to a partner for internal review and approval before it can be sent to the client. See Partner Review and Approval Process for more on this workflow
  • Created (green) — The contract has been created in Knuula but has not yet been sent to the client. It is still being prepared
  • Ready to Send (green) — The contract has been reviewed and approved by a partner and is ready to be sent to the client. Common when the engagement letter went through partner approval and is now waiting for the creator (or another team member) to deliver it
  • Scheduled (dark green/blue) — The contract has a Sending Schedule attached and will be sent automatically at a future date and time chosen by the sender
  • Sent (yellow) — The contract has been sent to the client but has not yet been opened
  • Opened (red) — The client has opened and viewed the contract but has not started signing or completing it
  • Opened (x% Complete) — The client has started completing the contract but has not finished signing. The percentage updates as they progress through the document (e.g., Opened (45% Complete))
  • Opened (100% Complete) — The client has fully signed every section of the contract but forgot to click the final Finish Document button. You can manually change this status to Document Complete to close it out
  • Document Viewed — Used for view-only contracts that don't require a signature (e.g., Pre-Audit Letters). These contracts are automatically marked complete once the client opens and views them
  • Document Complete (check mark icon) — The contract has been successfully signed and submitted by the client. This is the final state for a completed engagement
  • Revoked — The contract was previously sent but has been recalled or canceled by your firm. The client can no longer sign it
  • Removed — The contract has been removed from active use and no longer appears in your standard dashboard view

Offline Document Statuses

These statuses apply to contracts handled outside of Knuula's digital signing workflow — for example, engagement letters that are printed and signed in person or mailed to the client.

  • Offline — The contract is being managed offline and is not going through Knuula's digital delivery or signing process. This status is typically used when the contract has no recipient email address on file
  • Delivered Offline — The contract has been delivered to the client through an offline method (e.g., printed and mailed, or delivered in person)
  • Completed Offline — The contract has been signed and completed through an offline process. Used to manually close out contracts that were handled outside the platform
