Understanding Document Statuses in Knuula
A complete guide to what every document status in Knuula means and when you will see it.
Every document in Knuula has a status that reflects where it is in its lifecycle - from initial creation through to completion or removal. Understanding what each status means helps you manage your workload, follow up with clients at the right time, and keep your dashboard organised.
Standard document statuses
- Created - The document has been created in Knuula but has not yet been sent to the client. It is still being prepared or is waiting to be sent.
- Scheduled - The document is set up to be sent automatically at a future date and time.
- Sent - The document has been sent to the client and is awaiting their action.
- Opened - The client has opened the document but has not yet signed or responded.
- Approval - The document is under an internal approval process before it can be progressed or finalised.
- Completed - The document has been fully signed and accepted by all required parties.
- Hold - The document has been placed on hold and is temporarily paused. No actions will be taken on it until it is taken off hold.
- Revoked - The document was previously sent but has been recalled or cancelled by your firm. The client can no longer sign it.
- Removed - The document has been removed from active use.
Offline document statuses
These statuses apply to documents handled outside of Knuula's digital signing workflow - for example, engagement letters printed and signed in person.
- Offline - The document is being managed offline and is not going through Knuula's digital delivery or signing process.
- Delivered Offline - The document has been delivered to the client through an offline method (e.g. in person or by post).
- Completed Offline - The document has been signed and completed through an offline process.
Special status
- Not Started - No document has been created for this engagement yet. This status appears when a scheduled engagement exists in Knuula but a contract has not yet been generated.
