Knuula Onboarding Timeline — What to Expect

This article walks through what to expect at each step of the onboarding process. Use it as a reference throughout your onboarding so you know exactly what's coming next.

Here's the typical journey from kickoff to go-live, broken into six stages:

Step 1 — Kickoff Meeting

Before we begin any setup work, we'll bring together the key people involved in your implementation for a kickoff meeting. The goal is to make sure everyone starts with a shared understanding of Knuula and the path ahead. During this meeting, we'll:

  • Provide a quick demo of Knuula so all attendees have a baseline understanding of the platform
  • Walk through the full implementation process end-to-end, so you know what to expect at each step
  • Align on prioritization and timeline for when your firm wants to implement each service line (e.g., audit letters first, then tax, then advisory)

Tip: As part of the kickoff, identify a Knuula Champion for your firm — or one Champion per service line if you're rolling out multiple. The Champion is your firm's go-to person for everything Knuula-related, so they should be an active day-to-day user who can help drive adoption, answer questions from teammates, and serve as the primary contact with the Knuula team. 

Step 2 — Account Creation

Once we've aligned in the kickoff meeting and received your checklist items, our team will begin building your Knuula account. This includes:

  • Setting up your organization and user accounts
  • Configuring your templates with the right fields, sections, and formatting
  • Mapping your client data fields to Knuula's structure

Step 3 — Template Review and Walkthrough Meeting

After we've built out your account, we'll get together for a working session to show your team what we've put together. During this meeting, we'll:

  • Show your team what we've built and walk through how your Knuula account is structured
  • Ensure everyone on the call has access to Knuula and is logged in
  • Walk through a few templates and demonstrate how to create an engagement letter from start to finish

The goal is to give your team enough understanding of the platform that the right people can begin using the templates and provide feedback on what needs to change.

Important: Most firms don't spot the changes they need until they start creating letters with real client scenarios. This meeting sets your team up to test on their own so those refinements come up early — not after go-live.

Step 4 — Data Upload (Optional)

If your firm is ready, we'll ask you to provide an Excel list of client data that we'll bulk import into your account. This saves your team from manually adding every client one at a time and ensures everyone is in the system before you begin drafting letters.

Note: The template is a starting point — we'll narrow down the exact fields your firm needs during kickoff and template review. 

Step 5 — Training Meeting

After your templates and setup are finalized, we'll schedule a dedicated training session to guide your team through:

  • Creating contracts in Knuula
  • Sending engagement letters to clients
  • Managing the partner approval workflow (if applicable)
  • Tracking signature progress and using reminders

Step 6 — Post Go-Live Support

Even after you're live, our team is here to help. Reach out anytime for:

  • Questions about the platform
  • Template updates or new template requests
  • Additional user logins or permissions changes
  • Troubleshooting and general support
