Knuula Onboarding Checklist — What to Send Us
A complete list of the materials your firm needs to provide to get your Knuula account up and running — including templates, logos, signatures, and sample client data.
Welcome to Knuula! This article walks through everything you'll need to provide so our team can begin building your account. Use it as a reference while you're gathering materials, and check items off as you upload them to your firm's secure ShareFile link (your Knuula contact will send this to you separately).
Note: You don't need to send everything at once — only your engagement letter templates are required for us to begin. The rest can be uploaded along the way as you gather them.
✅ Checklist Items
-
Engagement Letter Templates (Word Format)
-
Provide your engagement letter templates as Word documents
-
Highlight any sections that should be editable within Knuula
-
If you're uploading multiple templates, indicate which are most frequently used or highest priority so we know where to focus first
- Optional: Share a few finalized client engagement letters alongside your templates. These help us fill in any gaps when building out complex or non-standard templates
-
-
Firm Logo or Letterhead
-
-
Provide your firm logo or letterhead that should appear on your engagement letters, ideally in a high-resolution format
-
-
Staff Names and Emails
-
Provide a list of staff members who should have a Knuula login to start
-
Include each person's full name and email address
-
You can always add more users later — no need to include everyone on day one
- To make this easier, download our Team Member Template and fill in your staff info directly into the spreadsheet
-
-
Signatures Used to Sign Engagement Letters
-
Upload firm signatures and/or individual partner signatures that will be used on engagement letters
-
If you're uploading both firm and partner signatures, please indicate which templates each signature should be used for
-
Accepted formats are typically PNG or JPG with a transparent or white background
-
-
Firm Sender Email Address
- Decide on the email address your clients will receive engagement letters from — by default they come from Knuula, but most firms route letters from a firm domain instead
- Common options include creating a dedicated email address like contact@yourfirm.com or engagementletters@yourfirm.com, or using an existing partner/admin email
- This should be finalized before any client letters can go out, so decide on this early in onboarding
-
Sample Client Data — or All of Your Data, If You're Ready (Excel Format)
-
Send a sample of your client data — or your full client list if you're ready — in Excel format (.xlsx)
- If you provide your full client data, we can bulk import it into your account so your team doesn't have to add clients one by one before going live
- It also helps us confirm that your data aligns correctly with how we've structured your templates
-
Download our template: To make this step easier, we've put together a ready-to-use Excel template with all of Knuula's standard fields pre-labeled as column headers. Download the Knuula Party Import Template here and fill in your client data directly into the template.
Note: The template is a starting point — we'll narrow down the exact fields your firm needs during kickoff and template review.
