What a form is
A form is a structured questionnaire you build once and reuse. Every question is tied to a real field, such as Client Name, Contact Email, Partner or a fee. So an answer isn't just stored on the form; it updates the record your letters and reports draw from.
Use a form whenever you need the same information from many people in the same shape. Examples: partners confirming fees and signers before engagement letters, clients updating their contact details, or staff filling in missing data.
What a form does
- Collects or confirms data. Questions show the current value when there is one, so people can confirm it or correct it.
- Saves answers to the record. Answers write to the client's fields automatically, are held for someone to approve first, or are kept on the form only. You choose this per form, and can override it per question.
- Works for your team or your clients. A form can be internal (team only), external (clients fill it in through the portal), or both.
- Shows only what's relevant. Sections and questions can appear only when a condition is met, for example the NFP questions only for non-profit clients.
- Covers more than one record. A section can list each service a client has, rows in a fee table, or each client in a group.
- Can carry your branding. Client-facing forms can use your logo, colours, an intro message and a thank-you message.
What a form can be about
Question types
Text, long text, number, date, single choice, multiple choice, dropdown and yes/no toggle. Choice questions can use a field's saved options, your service or document types, or your team members, so answers stay consistent.
Forms and campaigns
A form on its own is just the questions. To send it to many clients and track who has finished, use it in a Data Review campaign. The campaign decides who gets the form and who fills it in, then shows progress. A common setup is a Data Review campaign followed by a Contract Creation campaign, so letters are built only from data that's been confirmed.
Examples
You can ask the Knuula AI Assistant for any of these in plain words. It will match each question to the right field and build a draft form for you to review.
Good to know
- Check that each question is tied to the right field. The question wording can differ from the field name, but the answer always saves to the field it's tied to.
- If answers should update the client record, make sure the form is set to save them. A form set to keep answers on the form only will not change the record.
- The Knuula AI Assistant can build a form for you. Tell it what you need to collect and from whom, for example “Make a form for partners to confirm 2026 audit fees and signers.”
