What Is a Campaign in Knuula?

A campaign runs a group of clients through the same steps (review their data, create their letters, track each one to signature) and shows you where every client stands.

What a campaign is

A campaign is Knuula's workflow for work you do across many clients at once. You choose who's in it, what happens to each client, and who owns each one. Knuula then moves every client through the steps and tracks progress until the work is done.

Use a campaign whenever a task covers lots of clients, needs owners or review steps, or has to be tracked to the finish. Typical examples are annual engagement letters, year-end letters, tax organizers, and data cleanup before letter season.

What a campaign does

  • Builds the client list for you. Filters such as contract type, service, entity type, client status or team pick who qualifies. With ongoing enrollment on, new clients who match join automatically.
  • Runs each client through stages. For example: review the data, create the contract, approve it, send it, track it to signature.
  • Assigns the work. Each client goes to an owner, such as their partner or manager, with a backup person for anyone unassigned.
  • Picks the right template. It can choose a template per client, for example an NFP letter for non-profits and a business letter for everyone else.
  • Tracks progress. The dashboard shows how many clients are done, pending, on hold, missing a template, waiting on data, or sent but not signed.
  • Sends reminders. Optional digest emails go to owners on the schedule you set.
  • Links campaigns together. One campaign can wait on another; for example, letters are created only after a client's data review is finished.

Types of campaigns

Campaigns and forms

A form is the set of questions used in a Data Review campaign. Each question is tied to a client field, so answers can save straight to the client record (or be held for approval). A common setup is a Data Review campaign with a form, followed by a Contract Creation campaign, so letters are built from data that has been confirmed.

Examples

You can ask the Knuula AI Assistant for any of these in plain words. It will check your templates and client data, ask a few questions, and build a draft campaign for you to review.

Good to know

  • A new campaign starts as a draft. Nothing is sent and no one is notified until you activate it.
  • One campaign per piece of work: check for an existing campaign before creating a new one, so your client list isn't split.
  • The Knuula AI Assistant can set up a campaign for you. Tell it what you're sending and to whom, for example “Set up a campaign for our year-end letters, FP and NFP.”
